How do I get my one-off event listed?

First, it’s important to know that the Royal Stewards owns our canonical Kingdom Calendar hosted in Google Drive. All events listed on this site should only mirror the official calendar.

So the first step is to get in touch with the Royal Steward and make sure they are aware, and that it’s on the calendar. This form is used to do that.

When you do, work it out with them who will contact the Web Team to inform us. If it’s you, you can find us via the Contact page.

The Web Team reserves the right to defer to the Royal Court for approval or rejection.

Things we’ll need for an effective event listing:

  • Name of event

  • URL of Facebook event listing (remember it needs to be set to "Public”)

  • Names of all branches that are hosting/co-hosting

  • Contact info for the event’s autocrat – name, email, etc., however that person wishes to be contacted for questions

  • Start date and time, end date and time

  • Location – full address, please, and include a business or site name of where it’s hosted

  • Description of the event – what’s the purpose? Give us the sales pitch that should go with it.

  • Gate information – fees for entry, feast, and parking, as applicable

  • Parking information – onsite? offsite? restrictions?

  • Are there going to be merchants/vendors? How do people register to vend? Contact info for your merchant coordinator?

  • Schedule of events – Days, times, who’s holding the activity/class, description, cost if applicable, required supplies to bring, etc.

  • Any special event or site rules (ex: no dogs; 21+ only; no smoking in certain areas; etc.)

In addition to all of the information, we have a good cover photo for the event ready. This is used as a thumbnail for the event on the site, and may also display as a top/title banner on the event page here on the site. A good, clean, high-res graphic works best. Wide format is best for the banner, but remember that thumbnails may crop to a more square format, so having a focal point is best. You won’t be able to attach your file when you use the contact form, but you can send it over when we follow up via email.

Generally, the more information you have up-front for us, the better!
